Judgment of Compliance: The College certifies COMPLIANCE.
Narrative:
WCC annually publishes a student handbook, which includes the notice to students of their rights and privileges as required by FERPA. Additionally, the college policy concerning student rights and privacy is published in the WCC General Catalog. Confidentiality of student records is also defined in the CPM 05-0301. Students with grievances regarding their student records should follow the grievance procedure as outlined in the WCC Student Handbook and CPM 05-0802.
WCC has processes in place to protect the security, confidentiality, and integrity of student records. The Director of Admissions and Records, along with the Senior Vice President for Student Services, must receive and sign all requests for access to student records on line. The hardcopy records are maintained in the Office of Admissions and Records and are locked in a fire rated room with a separate lock from the Office of Admissions and Records. The staff in Admissions and Records must clear any access to hard copies of student records, and the person asking to review the records must have a legitimate reason for doing so. Students' signatures are required for release of any information in their records that is not considered directory information.
The staff of Student Development Services is kept abreast of all FERPA regulations by attending appropriate seminars or training in this area. For example, all staff members were required to attend a virtual seminar on the FERPA and Student Services. An audiocassette of this session has been placed in the Faculty Resource Room for other departments to review.
